You approve photographs of the exact unit before it ever leaves us, so most returns never need to happen. When one does, this page tells you how long you have, what it costs, who pays the freight back, and how fast the money reaches your account.

Refunded in full — and what gets deducted.

If the mistake is ours, you are never out of pocket for it. If the order was correct and you simply changed your mind, the real costs already spent on your shipment come out of the refund. Both columns are stated here before you buy, not after you ask.

Refunded in full

  1. 01We shipped the wrong unit. Different engine code, wrong transmission, or an assembly that doesn't match what you paid for.
  2. 02It doesn't fit the vehicle we quoted. We verify against your VIN, so a fitment miss is our error, not yours.
  3. 03You declined the photos. Say no before dispatch and the order is cancelled and refunded in full, every time.
  4. 04You cancelled within 24 hours. Before we start pulling and prepping the unit, there is nothing to deduct.
  5. 05We couldn't source it. If the unit fails inspection and we have no replacement, we refund rather than substitute.
  6. 06It arrived damaged and documented. Damage noted on the delivery receipt and reported to us is refunded or replaced, your choice.

Deducted from your refund

  1. 01Restocking fee. 25% once the 24-hour window closes — on a cancellation, a change-of-mind return, a part you ordered wrong, or a unit we inspect and find nothing wrong with.
  2. 02Return freight. When the order was correct, the cost of bringing a pallet back across the country is yours.
  3. 03Outbound freight already spent. Shipping is free to you, not free to us — on a change-of-mind return that cost is deducted.
  4. 04Carrier charges already billed. Liftgate, redelivery and terminal storage that the freight line has already invoiced.
  5. 05Missing pieces. Accessories, tags, heat tabs or the original pallet not coming back with the unit.
  6. 06Damage caused after delivery. Drops, dents, cut harnesses or a unit returned loose instead of strapped down.

How a return actually works.

Four steps, in this order. Step one is the one people skip — and a pallet that turns up at our dock without a return number gets refused, so start with the phone call.

Call for a return number

Ring us within 30 days of delivery, then put it in writing — email is fine. We issue a written RMA number and the address it goes back to. No RMA, no return.

Photograph, then repack

Photograph the unit and its tags before anything is wrapped. Put it back on the original pallet, strapped exactly as it arrived, with every accessory.

We book the truck

We arrange the freight pickup so the unit is insured and traceable in both directions. Write the RMA number on the outside of the crate.

Inspection, then refund

Our team checks it against the photos within 2 business days of arrival. Once it clears, the refund goes back to the card you paid with.

What this policy covers

This policy applies to used engines, transmissions, transfer cases and related assemblies bought from American Motor Supply LLC, whether you ordered online, by phone or by text.

It sits alongside our Shipping Policy and our warranty pages. Where a fault appears after installation, that is a warranty claim and the warranty terms apply instead of this page.

The 30-day return window

You have 30 days from the date of delivery to inspect your unit and tell us about any problem — wrong part, poor fitment, missing accessories or anything that doesn't match the photos you approved.

After 30 days we can no longer accept a return. Coverage doesn't disappear on day 31, but from that point it runs through the warranty rather than this policy.

Cancelling before it ships

Cancel within 24 hours of payment and you get every dollar back, no questions and no fee. Call us — an email sent at 2am is timestamped, so you're covered either way.

After 24 hours we start work: locating, pulling, draining, testing, photographing and crating. Cancelling from that point carries the 25% restocking fee, and if the unit has already shipped, actual round-trip freight is deducted as well. Deposits on a sourced-to-order unit stop being refundable once processing starts.

One exception overrides all of this: decline the photos before dispatch and you are refunded in full, whatever day it is.

Return authorisation (RMA)

Every return needs a written RMA number from us first, and the problem itself has to be reported in writing inside the 30 days. It ties the pallet to your order, tells our dock what to expect and keeps the freight insured.

  • Shipments arriving without an RMA are refused at the dock
  • An RMA is valid for 14 days from the day we issue it
  • Write the number on the crate, not just on the paperwork
  • Don't arrange your own carrier unless we ask you to

Condition it must come back in

A returnable unit is one we can sell again. It must come back uninstalled, unopened and undamaged, on its original pallet, with the tags, stampings and heat tabs intact.

These make a unit non-returnable: bolted into a vehicle, started, partially disassembled, cleaned of its identifying marks, drilled, painted or modified in any way. Once a wrench has been on it, we can only look at it as a warranty claim.

Wrong part or wrong fitment

We match every order against your VIN before quoting, and a used assembly may legitimately come from a different year or model as long as it is the correct interchange.

If we still get it wrong, tell us before installation and we will source the correct unit and cover the freight both ways — or refund you in full. What we can't cover is a part ordered against a VIN or a part number you supplied that turned out to be for a different vehicle — that is treated as a cancellation, so the 25% restocking fee and round-trip freight apply.

Restocking fee

There is no restocking fee when the fault is ours — wrong unit, bad fitment, documented transit damage — or when you cancel inside the 24-hour window, or decline the photos before dispatch.

Otherwise a restocking fee of 25% applies. It covers the pull, the inspection, the crating and putting the unit back into stock, and it is charged in four situations:

  • You cancel more than 24 hours after payment
  • You changed your mind or sourced the part elsewhere
  • You ordered the wrong part against your own VIN or part number
  • The unit comes back and our inspection finds no fault

Who pays the return freight

We pay when the return is our doing — wrong part, wrong fitment, transit damage or a photo you declined. We book the truck and it costs you nothing.

You pay when the order was correct — and that means round-trip: the outbound leg we already spent plus the return leg. Freight for an engine or transmission is real money, so ask us for the full round-trip figure before you commit — we'll quote it honestly rather than let it show up as a surprise on your refund.

How your refund is worked out

Three outcomes, and you'll know which one applies before the unit leaves your shop. We put the arithmetic in writing on your RMA email so nothing is decided after the fact.

Our error
100% back

Full purchase price, both freight legs on us, no restocking fee. Applies to a wrong unit, a fitment miss, documented transit damage or a declined photo approval.

Change of mind
Price − costs

Purchase price less the 25% restocking fee and the round-trip freight on your order. Everything itemised in writing.

Not returnable
No refund

Installed, started, disassembled or modified units, returns sent after 30 days, and shipments that arrive without an RMA. These move to a warranty claim instead.

Shipping charges that a carrier has already billed — liftgate, redelivery, terminal storage — are passed through at cost and are not refundable, because that money has left the building.

When the money reaches you

Once the returned unit is inspected and approved, the refund is issued within 5–7 business days to the original payment method. We don't refund to a different card, account or person.

How long it then takes to appear is your bank's business, not ours — cards usually post in 3–5 business days, and bank transfers can take longer. We'll send you the transaction reference so you can chase it if it stalls.

Warranty claims are not returns

A return is for a unit that was wrong on arrival. A warranty claim is for a unit that was right on arrival and later failed — and once a part is installed, that is the route it takes.

On an approved warranty claim we collect the unit and ship a tested replacement of equal grade, with the freight paid by us. If no compatible unit is available within 10 business days, you get a refund instead. See the Engine Warranty and Transmission Warranty pages.

Before you file a dispute

If something has gone wrong, call us first. Nearly every problem we see — a late shipment, an accessory missing from the crate, a refund that hasn't posted yet — is fixed in one phone call.

A chargeback filed while a return or warranty claim is open freezes the file with your bank and stops us from refunding or replacing anything until the bank decides, which takes far longer than we do. Give us the chance to sort it out; the dispute option is still there afterwards.
